Roofing Estimate Follow Up for Owner-Run Roofers

You walk the roof and write the estimate. The homeowner says they will think about it. Then nothing. Nobody checks back.

That is not a traffic problem. It is a follow-up problem, and you can fix it. Below you will find:

  • A sample roofing estimate follow up cadence you can use today.
  • The rules for when a person has to step in.
  • How we build it for you.

Why roofing estimates go quiet

A quiet quote is not always a no. The homeowner may be busy, or waiting on a spouse, an insurance call or another bid. Your estimate may be buried in an inbox.

On an owner-run crew, the person who should check back is usually the same person on the roof and on the phone. Follow-up slips first. Not because you do not care, but because nothing is doing it while you are busy.

Roofing is one of the roofing, restoration and trades we serve, where one missed call or quiet quote can be a big job.

What good follow-up does

  • Reminds the homeowner who you are and what you quoted.
  • Makes it easy to ask a question or set the next step.
  • Knows when to stop.

A sample roofing estimate follow up cadence

Sample. This is our recommendation, based on common practice for estimate follow-up and written for owner-run roofers. Treat it as a starting point. Change the timing to fit how your homeowners decide.

Each message is a text from your business number, and each one is an informational reply about the estimate the homeowner asked for. The cadence stops the moment the homeowner replies, books or declines.

When What it says Goal
Day 1 Thanks for having us out. Here is the estimate you asked for and how to reach us. Make sure they have the estimate
Day 3 Any questions on the estimate? Reply here and we will walk through it. Open the door for questions
Day 7 Checking in on the roof estimate. If it helps to go over it by phone or on site, reply and we will set a time. Set a next step
Day 14 Last check-in from us on the estimate. Want us to keep it open, or check back later? Either answer is fine. Get a clear answer
Any reply, booking or decline Follow-up stops. You get an alert. A person takes over

Sample message wording

Keep it short. Sound like you, not a form letter. We recommend every text open with your business name and end with an opt-out line.

{Company}: Hi {first name}, this is {your name}. Thanks for having us out to look at your roof. Here is the estimate you asked for. Reply here with any questions. Reply STOP to opt out.

{Company}: Hi {first name}, checking in on the roof estimate. Do you want us to keep it open, or check back with you later? Either answer is fine. Reply STOP to opt out.

The samples never change the number or offer a discount. Those calls stay with you.

Texting rules we recommend

  • Texts go out from your own business number.
  • Every text is informational and about the estimate the homeowner requested. We do not send marketing texts.
  • No more than one follow-up text to a homeowner on any given day.
  • A STOP reply is honored immediately, and that homeowner is not texted again.
  • Texting from a business number needs A2P 10DLC registration. We handle it in your business name. It takes about 1 to 3 weeks, so text follow-up is available once your texting registration is approved.

Handoff rules: when a person takes over

Follow-up should handle the routine checking in. It should not make business decisions for you.

What the system never does without a person saying yes

  • Sending a message to a customer list for the first time.
  • Changing a price, quote or estimate.
  • Offering a discount, refund or credit.
  • Deleting or overwriting customer records.
  • Changing your calendar rules, hours or service area.

Sample handoff triggers for estimate follow-up

Sample. These are the triggers we recommend. Who gets each alert is set with you on the kickoff call.

  • The homeowner replies at all. The cadence stops and you get an alert, so a real person picks up the conversation.
  • The homeowner asks about price, scope or financing. It goes to you. The system does not answer anything about money.
  • The homeowner mentions an insurance claim or an adjuster. It goes to you.
  • The homeowner is ready to book. An alert goes to you or whoever runs the schedule, and that person books the visit inside the tools you already use.
  • The homeowner says no or replies STOP. Follow-up stops immediately.
  • The message is unclear or the homeowner is upset. It goes to a person.

Routine check-ins go out on the cadence we set with you. Anything that needs you shows up as an alert.

How we build it into the Booked-Jobs System

Estimate follow-up is one part of the Booked-Jobs System for contractors. We build the path from "I need a price" to a booked visit, in your brand:

  • A booking page around your best first step: free inspection, photo quote or a booked visit.
  • Booking confirmation, so the homeowner knows they are on the schedule.
  • Fast follow-up on new web leads.
  • Follow-up after the estimate, so quiet quotes get a second look.
  • After-hours call answering connected, with owner alerts.
  • Missed-call text-back: when a call goes unanswered (no answer, busy or after hours), a short informational text goes out within seconds from your own business number. Available once your texting registration is approved.
  • Alerts to you or whoever runs the schedule.

We do not integrate with a CRM or calendar. We log in and run follow-up inside the tools you already use.

We set a go-live date at kickoff and tune the system for 30 days after go-live. Then we hold a review call and you decide: run it yourself or move to managed. Your booking page, copy and lead data are yours.

John builds every Blur Agentic system himself. The person on your walkthrough is the person who builds it. No handoff to a junior team.

The build is $5,000 to $10,000. Where it lands depends on how many channels, calendars and follow-up paths it covers. You see the exact price in a written proposal before you commit. Payments are non-refundable.

Want it run for you instead

If you want it off your plate, our managed AI agents for home services cover estimate follow-up, and we run them for you. The managed plan also covers call answering, new-lead follow-up, past-customer reactivation and review requests.

We watch what the agents send. When something fails, like a text that does not send, it is flagged to us, not left for a homeowner to find. We fix it and tell you what happened in plain words.

You get:

  • A weekly summary: what came in, what got booked and what needs you.
  • A monthly written report.
  • A monthly call with John.

Managed is $7,500 setup plus $2,000 a month. There is a 3-month minimum from go-live, then it runs month to month with 30 days' notice. Setup is non-refundable. If you leave, your page, copy and lead data stay yours.

Start by finding where your quotes slip

See where follow-up breaks before you pay to fix it. The paid Growth Assessment tests your calls, texts and form fills, after hours and on a weekend, each dated and timed. It also checks your booking path, your follow-up and your Google Business Profile.

You get:

  • A 2 to 4 page written report in 5 business days, with fixes ranked by how fast they book jobs.
  • A 60-minute walkthrough led by John.

The assessment is $1,500 and non-refundable. It is credited toward a build if you start within 30 days ($1,500 on a build of $6,000 or more, $1,250 on a $5,000 build), and you keep the report either way. If a build will not pay for itself, John will tell you on the call.

See how the assess, build and manage steps work before you pick one.

Roofing estimate follow up FAQ

How long should a roofer keep following up on an estimate? There is no single right number. It depends on your job size, your season and how fast your homeowners decide. Our sample cadence runs four check-ins over two weeks and stops on any reply, booking or decline. In a Booked-Jobs System build, follow-up is tuned for 30 days after go-live, so timing can change once real replies come in.

Will the follow-up ever change my price or offer a discount? No. Changing a price, quote or estimate needs a person to say yes. So does offering a discount, refund or credit. The follow-up texts are informational notes about the estimate the homeowner asked for. Any reply about money goes to you, or to whoever runs your schedule, as an alert. You make that call, not the software.

Is roofing estimate follow up included in the Booked-Jobs System? Yes. Follow-up after the estimate is part of every Booked-Jobs System, along with a booking page in your brand, booking confirmation, new-lead follow-up, after-hours call answering connected and owner alerts. The build is $5,000 to $10,000 depending on scope, set in a written proposal after the Growth Assessment.

Is the follow-up done by AI? Yes. The answering and follow-up agents are AI, set up and watched by us. On the managed plan we check what the agents sent and catch failures, like a text that does not send. A person still says yes before anything touches a price, a discount or a customer list for the first time.

Can my office manager run estimate follow-up after the build? Yes. That is what the Booked-Jobs System is for. After 30 days of tuning, we hold a review call and you decide: run it yourself or move to the Managed Growth System. Managed is $7,500 setup plus $2,000 a month, with a 3-month minimum, then month to month.

Does estimate follow-up connect to my CRM or estimating software? No. We do not integrate with a CRM or calendar. We log in and run follow-up inside the tools you already use, and we set the cadence and who gets alerts with you at kickoff. If a homeowner is ready to book, that visit is booked by you or whoever runs your schedule, not by an integration.
