Storm Damage Lead Management: A Storm-Week Plan Built Before the Storm

The day after hail, the phone does not stop. You are on a roof. Your office manager is on another line. Calls roll to voicemail, forms pile up, and last week's estimates go cold while you chase new ones.

You will not be short on leads that week. Storm damage lead management is about what you do with them: answer them, book the ones your crew can handle and work the rest before they call the next company.

Blur Agentic builds that plan for owner-run roofing and restoration crews. We build it before the storm, so it is in place when you have no time to think about it.

Why storm week breaks a small crew

The leaks are the same ones you have every week. A storm just stacks them up at once.

  • 9pm. A homeowner with water coming through the ceiling calls. Voicemail. They call the next company.
  • Sunday. Someone fills out your form. Nobody replies until Tuesday.
  • The quote. You give an estimate. They go quiet. Nobody checks back, because you are already on the next roof.

None of that is a traffic problem. It is a follow-up problem, and it can be fixed. On a normal week it costs you a job here and there. In storm week, the homeowners who hit voicemail do not call twice.

Plenty of storm software is built for knocking doors and mapping hail. That is a different job. This page is about what happens after the phone rings.

The storm-week surge plan

The plan has three parts. Each one is set up and tuned on normal weeks, so nothing is new on a hail day.

1. After-hours answering and the missed-call text

The build includes after-hours call answering connected, with alerts to you or whoever runs the schedule.

When a call goes unanswered, because nobody picks up, the line is busy or the call takes the after-hours path, a short text goes out within seconds from your own business number. It opens with your business name, is informational only and ends with Reply STOP to opt out. Each caller gets one text per 24 hours, and STOP is honored immediately. We do not offer marketing texts.

We handle the texting registration (A2P 10DLC) in your business name. It takes about 1 to 3 weeks, so the missed-call text is available once your texting registration is approved. One more reason to start before the season.

Calls may be answered by an AI assistant, which will say so if asked. Calls may be recorded and transcribed.

2. Booking rules your crew can keep

A storm can fill a schedule faster than a crew can climb roofs. Before the season, decide:

  • how many inspections your crew can do in a day
  • which days and hours are open
  • how far you will drive

Bring those answers to kickoff, along with your logo, your service area and who gets alerts.

We recommend you set a daily inspection cap as a rule in your plan. Leads past the cap go to a callback list, and we recommend whoever runs your schedule work that list on the next open day. The cap is your call, and so is raising it. Changing your calendar rules, hours or service area always takes a person saying yes.

Your booking page is in your brand, built around your best first step: a free inspection, a photo quote or a booked visit. It comes with booking confirmation, so the homeowner knows they are on the schedule.

3. A follow-up queue that does not depend on your memory

In a surge, follow-up is the first thing to slip. The plan sets the order:

  1. New web leads get a fast reply and a path to a booked time.
  2. Estimates that go quiet get checked on, so a quiet quote gets a second look.
  3. Past customers can get reactivation messages for inspections on the managed plan. Sending to a customer list for the first time needs your yes.

On the managed plan, you get a short summary each week: what came in, what got booked and what needs you.

Fill this out before the storm

This is the worksheet we use to set up a storm-week plan. Fill in each row now, while the sky is clear. There is nothing to download. Bring your answers to your assessment walkthrough or your kickoff call.

Fill in your storm-week plan now, while the sky is clear. Every row is optional. Send it and we will keep a copy of your answers ready for your walkthrough or kickoff call.

This is your rule. Leads past the cap go to a callback list, worked on the next open day.
What is your best first step?
Texting registration started? The missed-call text is available once registration is approved. It takes about 1 to 3 weeks.

Nothing is emailed to you automatically. Your answers go to John at Blur Agentic, and he only writes back if you ask him something. No texts. To keep a copy, print this page with your browser before you send it. See our Privacy page.

Any row you cannot answer is where storm week will hurt.

Build it or have it run

Booked-Jobs System: $5,000 to $10,000. We build:

  • a booking page in your brand, with booking confirmation
  • new-lead and estimate follow-up
  • after-hours call answering connected, with owner alerts
  • the missed-call text, available once your texting registration is approved

Then we tune it for 30 days after go-live and hold a review call, where you decide: run it yourself or move to managed. The exact price depends on scope and is in your written proposal before you commit. See the full scope of the Booked-Jobs System for contractors.

Managed Growth System: $7,500 setup plus $2,000 a month. Everything in the build, plus:

  • past-customer reactivation and review requests
  • monthly tuning and a monthly call with John
  • a weekly summary and a monthly written report

We log in and run it inside the tools you already use. We check that calls, forms and follow-ups are running. When something fails, like a text that does not send or a booking that does not land, it is flagged to us, not left for a homeowner to find. There is a 3-month minimum, then it runs month to month. Here is how our managed AI agents for home services are watched and reported on.

Both start with the Growth Assessment: $1,500, credited toward your build if you start within 30 days: the full $1,500 on a build of $6,000 or more or the Managed Growth System, $1,250 on a $5,000 build. Payments are non-refundable. If you want the side-by-side, see how the assess, build, manage process works.

What stays your call in storm week

Storm week is when a mistake costs the most. The system never does any of these without a person saying yes:

  • Sending a message to a customer list for the first time.
  • Changing a price, quote or estimate.
  • Offering a discount, refund or credit.
  • Deleting or overwriting customer records.
  • Changing your calendar rules, hours or service area.

Answering, booking confirmation and routine follow-up are what the system is built to handle. On the managed plan, that work shows up in your weekly summary.

Who builds it

I'm John. I run every assessment, every walkthrough and every build myself. No handoff to a junior team. If a build will not pay for itself, I will tell you on the call.

We are based in Kansas City and work with owners across the United States. This plan is built for the roofing and storm restoration crews we serve, where one missed call can be a big job.

Storm damage lead management FAQ

What is storm damage lead management? Storm damage lead management is how a roofing or restoration crew answers, sorts, books and follows up on the flood of calls and forms after hail or wind. For an owner-run shop, it means calls get answered, inspections are booked within the limits you set, and no lead sits unworked once the rush passes.

Do you sell canvassing or storm-tracking software? No. We do not sell canvassing apps or storm maps. We build the part between the first call and the booked inspection: after-hours call answering, a booking page, booking confirmation, new-lead follow-up and estimate follow-up. On the managed plan we also run it every day and send you a weekly summary.

What happens when a storm call goes unanswered? On the Booked-Jobs System, an unanswered call, whether no answer, busy or the after-hours path, triggers a short text from your own business number within seconds. It opens with your business name, is informational only, and ends with Reply STOP to opt out. One text per caller per 24 hours. It is available once your texting registration is approved.

When should I set this up? Before storm season, not during it. A build gets a go-live date at kickoff, then 30 days of tuning. If the system is tuned on normal weeks, you are not learning it on a hail day. Building in the middle of a surge means testing on the customers you can least afford to lose.

Will the system change my prices or message my customer list during a storm? No. The system never sends a message to a customer list for the first time, changes a price, quote or estimate, or offers a discount without a person saying yes. It also will not change your calendar rules, hours or service area on its own. Those decisions stay with you, even on the busiest day of the season.

What does it cost? Every engagement starts with the $1,500 Growth Assessment, credited toward a build if you start within 30 days: the full $1,500 on a build of $6,000 or more or the Managed Growth System, $1,250 on a $5,000 build. The Booked-Jobs System is $5,000 to $10,000 depending on scope, set in a written proposal. The Managed Growth System is $7,500 setup plus $2,000 a month, with a 3-month minimum.
